Event Technology Rental Checklist

Use this checklist with your venue contact, event lead, and IT support before confirming an equipment order.

Before requesting equipment

Count simultaneous users and staffed stations, not just total attendance. Choose 5–20 devices of each selected model and at least three charged rental days. Define each station’s job, required app, peripheral connections, and accessibility needs. Record the venue address, delivery contact, unloading access, and delivery/pickup windows.

Before guests arrive

Confirm venue Wi-Fi credentials, capacity, power access, and any venue-required approvals. Test the entire attendee flow with a sample user and the actual application. Check stands, mounts, cables, chargers, printers, and adapters against the written equipment list. Identify the person supervising each area and an alternative process if a station stops working.

Before equipment returns

Export necessary records to your approved system and verify that the export can be opened. Sign out of accounts and remove account locks or organizational enrollment. Match each device and accessory to the handover manifest. Keep equipment supervised until the authorized pickup agent receives it.
